Associate Director of Performance and Program Operations

Mama Foundation for the Arts (MFA), a Harlem based musical performance and educational nonprofit organization, seeks an entertainment focused business manager overseeing theatrical performances, music performances, and arts education in a fast-paced project-based environment.

About the Role

The Associate Director of Performance & Programs operations plays a pivotal role at MFA and is responsible for managing and executing live performance activations as well as the year-round educational programs. The Associate Director of Musical Performance & Programs reports to the Artistic Director and Founder & Executive Director and supervises a team of project-based support staff. The Associate Director of Performance and Programs manages high-level logistical, organizational, and internal communications and planning. They interact closely with performers, guest artists, musicians, students, administration, and members of the community. This role demands a detail-oriented critical thinker capable of juggling multiple responsibilities and interfacing diverse constituencies.

Planning, Execution and Anticipation

  • Execute and implement all artistic plans and programs developed in collaboration with Artistic and Executive Directors.
  • Manage contracting process and administer contracts for artists, guest artists, seasonal staff, and vendors.
  • Oversee production manager and stage crew in production of all artistic and educational activities.
  • Manage concert and productions including company management and artist servicing as needed, and other artist liaison activities.
  • Respond to artists and student issues and grievances.
  • Develop new program offerings and curriculum that support the organization's mission, vision, and goals.
  • Monitor program operations for quality, efficiency, and effectiveness.
  • Work with Marketing and Communications to support the implementation of marketing strategies for artistic programs.
  • Develop, maintain, and distribute performance schedules for all performances, including main programs, community concerts, workshops, education, and touring.
  • Develop and execute annual concert production budgets, operations, and coordination plans.
  • Communicate effectively and regularly with others to ensure timely response to production scheduling deadlines and technical needs.
  • Coordinate artist involvement in marketing, promotional, and digital initiatives with the Comms Department.
  • Monitor and evaluate operational processes, developing new and revised operational methods and procedures as appropriate.
  • Oversee operations and coordination for concerts and productions.
  • Oversee and manage all backstage operations for performances.
  • Prepare production schedules alongside Artistic and Executive Directors to achieve artistic goals while maximizing services for financial benefit and upholding the requirements of MFA.
  • Supervise setup for rehearsals and concerts, and coordinate with appropriate staff regarding special setup requirements.
  • Assist in on-site artist coordination during rehearsals and concerts.
  • Coordinate production requirements, timing, and special needs for broadcasts and/or live streaming as needed.
  • Plan, manage, and execute processes associated with enrollment in classes and special events.
  • Manage MFA student communications regarding enrollment and scheduling, as well as communicating with MFA staff regarding enrollment and/or changes to schedules.
  • Develop strong working relationships with teaching artists, performing artists, and students by communicating about registration, scheduling, rehearsal, class, or performance issues.
  • Maintain MFA student, artist, presenter, and venue databases.

Experience

  • Three years' experience in an operational, personnel management, or artistic administration position at a performing arts center, orchestra, festival, or school working with high-level professionals and students. Will wave years of experience for recent graduates of an arts program that had extensive hands-on experience or onsite internship.
  • Production or stage management experience in performing arts organizations or venues

  • Excellent critical thinking and conflict-resolution skills
  • Ability to work on a team collaboratively with minimal supervision and adapt to changing work priorities and schedules

$60,000.00 – $65,000.00 per year
